For finance teams, month-end close has a way of compressing every inefficiency into a single, high-stakes window. Disconnected exports, manual reconciliation steps, and spreadsheets stitched together with institutional memory rather than logic. At Ayvens Bank, that pattern was familiar and the team knew it had to change.
Working with Alteryx and Infotopics, Ayvens Bank rebuilt the process from the ground up. The outcome was automated, integrated, and audit-proof reporting that has fundamentally changed how the finance team operates — and what they’re now able to do.
Finance at Ayvens Bank carries a broad mandate. Alongside traditional financial administration, the team owns analytics and BI for the wider organization.
“Within finance, we analyze data every day. It therefore made sense for analytics and BI at Ayvens to sit within our team,” said Anna Kravets, Head of Finance at Ayvens Bank. “However, reporting from our core banking platform was reaching its limits.”
Ayvens adopted Ohpen as its core banking system several years ago. While the platform supported core banking operations, it was not designed to deliver the finance reporting flexibility Ayvens Bank needed in its specific environment.
That created friction where accuracy mattered most: month-end close. The process depended on pulling data from Ohpen, manually stitching together exports, validating figures, building out backups, and producing a final set of reports — all under tight regulatory scrutiny. Every step was manual. Every step carried risk. And every step cost time.
Regulatory compliance added another layer of urgency. At financial institutions, the accuracy and traceability of every figure matters. Backup reports must reconcile, totals need to match underlying data, and the entire process needs to be reproducible.
Ayvens bank partnered with Infotopics to redesign the reporting process using Alteryx. “Alteryx aligned with our vision and met our compliance requirements. It gave us the reporting flexibility that we could not achieve through our core banking platform,” said Kravets.
The solution centered on a set of Alteryx workflows purpose-built to extract data from Ohpen, transform it into a finance-oriented structure, and produce the reports needed for month-end close, including the GL Balance Sheet and Profit & Loss statements.
The team started with a deliberate sequence. First validate, then model, and then build the logic. “We started with validation and testing, first ensuring the data was correct, then modeling it, and only after that building the logic and outputs,” said Gijs Reysoo, an Infotopics Consultant. “That is the only way to create trust in your figures.”
The second was a central mapping table. Rather than maintaining multiple, fragmented data streams, all sources and IDs were connected through a single layer. This ensured consistent consolidation across reports, whether that was the GL Balance Sheet or a downstream backup document. It also made the entire system auditable: one mapping table means one place to check when something looks off.
Extensive testing was built into every stage as a core design principle, because in a regulated environment, trust in the numbers has to be earned, not assumed.
The numbers tell part of the story. Four hours are saved every day on report preparation and two full days are recovered each month from manual month-end close activities. For a lean finance team with a wide remit, that’s a meaningful shift in what the team can actually do.
What we built is not just a standalone report, but a controlled pipeline: input, validation, modeling, business logic, and output. That makes it reproducible and audit-proof.

But the bigger win is structural. The finance team now operates from a single source of truth for all financial figures. Reports are consistent, backups reconcile, and the entire process is reproducible on demand — which matters enormously when regulators come calling.
Manual touchpoints have been dramatically reduced, which means fewer opportunities for human error to creep in. The workflows handle the heavy lifting: extracting, validating, modeling, and outputting, with controls and checks embedded at every stage.
The architecture Infotopics built was deliberately scalable. Now, the same pipeline that powers monthly close is now being applied to other internal processes: campaign analysis, monitoring of incoming and outgoing cash flows, and more.
We can now use the same setup we built for monthly close for other internal use cases as well.
